Mass Mailing of W-2s Isn’t So Taxing With Neopost’s SI90 Versamailer Tabletop Folder/Inserter

Situation
Recently, four regional offices of a national payroll-processing company were faced with the challenge of sending approximately 300,000 W-2 forms to their customers' employees. Having performed the work in-house previously, and realizing how time-consuming it can be to stuff envelopes by hand, the branch managers outsourced the job to L&D Mail Masters, a direct-mail company.

L&D, based in the Louisville suburb of New Albany, Ind., was eager to coordinate the mailing, but it had two major concerns about the project.

The primary issue was the complexity of the mailing. Although some people would expect only one W-2, others would receive multiple forms, and the client wanted each employee’s W-2s to be consolidated into a single envelope, to eliminate multiple envelopes being sent to the same address.

The second concern was the importance of the envelopes’ contents. “With documents as sensitive as W-2 forms, you simply can’t put one into the wrong envelope,” noted Diane Fischer, L&D’s owner. Accuracy was particularly critical with this project.
